  • More about Diem Enterprise Solutions

This suite of products add value to HP TRIM through providing simple and familiar user interfaces, document migration tools, line-of-business application integration, and specific automated functions. The real power of the Diem Solutions is implementing them using a holistic approach to information management.

You can achieve a corporate store of authoritative information to meet compliance, evidential, accountability and legislative requirements through use of Diem products, combined with an information management strategy.

Do you have the problem of users not using the records management system or saving information to other repositories – despite implementing a very functional Electronic Document and Records Management System (EDRMS), such as HP TRIM, that is underpinned by appropriate policies? Diem Solutions, along with progressive information management strategies, can give you tools to solve this problem.

iCognition has recently worked with several large enterprises where a progressive approach is being taken. In these solutions, the agencies have removed or severely restricted access to network drives, and are implementing a pervasive information capture process where there is no potential for exception, including capturing sent and received emails.

    Significant benefits

You will see benefits such as increased user adoption, business efficiency and compliance, as well as training and storage savings. A strong approach to managing all corporate information in one single source is achievable. Some people think that document drafts and information of ephemeral value should be managed outside this single corporate store of information but this is losing validity.

All information created and stored in an organisation belongs to that organisation and needs to be managed in a single repository. Otherwise significant costs in the management and discovery can be expected, as well as embarrassment when auditors need to spend substantial effort examining and/or searching shared folders, individual folders and email accounts.

    Case study

In 2008,  iCognition assisted Australian Crime Commission (ACC) to implement such a solution in which all corporate information is managed in a single repository. A ‘portal’ interface was installed over the TRIM system to provide easy and simple access to the system. Additionally, the ability to store information in network drives was removed so that all information is now captured to HP TRIM.

Anecdotally, the capture of all corporate information and high user adoption has resulted in simple, easy document capture, and subsequent improved search and retrieval. Subsequent audits, FOI requests, and legal challenges will be easily met as there is primarily only one system to search for information. Access to all information is also fully audited, so working out who has accessed records is simple.

This solution has reduced information management costs overall and ensures full compliance with accountability, legislative and evidential requirements. Additionally, the volume of paper and elelctronic information being managed in the ACC has reduced significantly because duplication, version control and disposal is now managed . This single authoritative repository further enables a reduction in the growth of storage size. As a result of this solution and other IT infrastructure innovations, the ACC are the first organisation to receive a significant ‘Green IT’ certification from Computers Off  (link opens in new window). The ACC has implemented hardware and software solutions to better manage power consumption and has adopted server virtualisation by reducing the physical number of servers by 45 per cent. In a Media Release by Minister of Home Affairs, The Hon Brendan O’Connor MP, the Minister said “The ACC will also save approximately $80,000 per annum in power and $43 000 per annum inlicensing and maintenance fees”. Other organisations are keen to achieve similar outcomes, since the ACC solution implementation, and iCognition is assisting them in moving toward this approach.

”The iCognition solution was a major contribution to the ACC decommissioning 71 file servers,’ says Andrew Cann, CTO of ACC.

iCognition will work with you at a strategic level to define your vision and objectives, and set strategies in place to achieve these. Using Diem Solutions, you can expand on your existing HP TRIM investment to achieve the outcomes.
