HP pairs Autonomy Idol with Trim records management

As part of a strategy to integrate its enterprise software products, Hewlett-Packard has updated its HP TRIM records management software so that it works with Autonomy IDOL search and classification software for unstructured data.

HP estimates that less than 10 percent of an organization’s information is retained as official records and is instead stored in a records management system such as HP TRIM. Due to ongoing concerns around security and government compliance, “organizations need to find a way to manage all their information, not just the 9 or 10 percent,” said Dan Carmille, head of strategy and solutions for the enterprise content management group of HP’s Autonomy. “That’s the pressure we’ve been responding to.”

HP acquired Autonomy last year and is in the process of moving the software and personnel into a unit of the HP Software division. “We’re leveraging assets across HP software and Autonomy to create a single unified approach to information governance,” Carmille said. “It’s an example of the synergies of what HP is doing with Autonomy.”

The new version of HP TRIM, 7.3, has the ability to capture information on the Autonomy Intelligent Data Operating Layer (IDOL) platform, so it can be stored as organizational records. The software makes use of version 3 of HP’s Autonomy ControlPoint software, which was just released. Autonomy ControlPoint can identify material that should be categorized as business records and classify business records using the Autonomy IDOL’s analysis techniques.

“You have the ability to apply policies to content. If one of your policies determines that [a piece of] content is a record, you have the ability to move that content directly into a records management system for proper management,” Carmille said.

Trim 7.3 also allows its records to be searched through the IDOL search engine, expanding the range of organizational data that can be searched through IDOL.

HP also announced that the newly released version 7 of the HP Application Information Optimizer, which eliminates unnecessary legacy database records, will work with HP TRIM.

The cost for running HP TRIM starts at US$500 per seat, with per-seat discounting based on the number of registered users.

TRIM 7 New Functionality

Here’s the 5 minute version of new functionality in TRIM 7 that affects end users.

TRIM 7’s flagship functionality is a whole new integration for Sharepoint. There are two new Sharepoint integration modules:

  • Records Management module that can ‘transparently manage, finalize, relocate, and archive SharePoint content such as blogs, wikis, discussions, documents, forms, and published pages for the end user according to established business rules’.
  • Archive module that ‘enables administrators to set lifetime management policies on content for automatic archival of entire sites’.

Other items of new functionality are:

  • A new string based search editor which allows searches to be grouped into hierarchies
  • Users can now conduct nested searching (searching within searches)
  • in the user options users can choose which search editor to use
  • User Labels (Tags) are now available to users, hierarchies are available and there’s a whole new range of icons to go with user labels/tags
  • Some additional user options are available:
  • new tab in the TRIM Options for Locale (language)
  • more spelling options and you can choose dictionaries
  • options for capturing emails now have an option under the Dropped Files Tab
  • Save Search As is now available from the right mouse click Menu
  • Tools Options Integration has moved to a new location – Tools-HP TRIM Desktop Addins
  • Some technical changes that improves the user experience/stability are:
  • Favorites, Recent Documents and User Options are now saved in the database, not locally to the client
  • System Options menus have changed significantly (especially object caching)
  • Offline Records in TRIM 7 is based on xml, in 6.2 it was a jet database
  • there are more options for how Global Options are saved
  • TRIM SDK has been expanded to allow ‘on the fly’ customisation of the record entry form

We’re quite excited by the announcement of the upcoming TRIM 7 release. Attached are the datasheets and the details on the release. The SharePoint integration looks very cool, I must say! You can capture any item from SharePoint to TRIM automatically or manually….nice one HP! We get a test copy in the next few days and we’ll start testing against our Diem Enterprise Solutions to ensure compatability.
